  • Perform data entry.
  • Maintain a document filing system.
  • Carry out invoice reconciliation.
  • Prepare necessary reports.


  • Maintain housekeeping, personal grooming and professional attire at all times.
  • Meet and greet customers in a most professional manner and positive attitude either by phone or in person.
  • Ensure Occupational Health and Safety are adhered too and report any unsafe issues to Managers and OHS officer.
  • Organize and schedule appointments with Service Advisors.
  • Prepare weekly timesheets and send for approvals
  • Perform cashier duties for Parts, Service and Panel depts and ensure receipts are provided to the customer.
  • Safely keep till box in a safe deposit box on a daily basis
  • Work with Auditors when required especially on auditing of books and petty cash
  • Handle and manage petty cash within process
  • Submit and reconcile expense reports to Finance dept.
  • Prepare Quotations and PO for office supplies with managers approval
  • Arrange approval and prepare LPO for purchasing of local parts, sublet works and workshop materials.
  • Prepare and maintain excel report of LPO records and submit to Finance at month end
  • Reconcile supplier invoices, approval and sent to Finance for process payment.
  • Arrange urgent cheque/cash suppliers’ payment who don’t accept our LPO.
  • Maintain Excel for internal closed Ro’s and submit to Finance at month end
  • Tappoo Kia and CHL invoices to be sent via email and Hard copies through Courier to Finance Sigatoka.
  • Labelling and filling of all Kia and CHL Invoices and Documents
  • Record keeping and maintain Excel for “on the go” general Fuel Card and send to Finance Sigatoka on month end
  • Allocations of funds and prepare batches for online payments done by customers.
  • Maintain contact lists and update if necessary
  • Conduct any other responsibilities requested by Managers
